AskVoss ("the Service"), operated by James Leach ("we," "us," or "our"), respects your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.
2. Information We Collect
Information you provide:
- Account information: name, email address, and password when you create an account
- Lead information: name, work email, and company name when you request a report
- Uploaded documents: compensation plans, sales data, and other files you upload for analysis
- Chat messages: questions and information you provide during conversations
- Survey responses: ratings and comments submitted through healthcheck surveys
Information collected automatically:
- Usage data: pages visited, features used, and interaction patterns via Vercel Analytics (privacy-friendly, no cookies)
- Technical data: IP address (for rate limiting only, not stored), browser type, and device information
3. How We Use Your Information
- To provide and improve the Service
- To process your uploaded documents and generate AI-powered analysis
- To send transactional emails (account confirmation, password resets, survey invitations)
- To aggregate anonymized insights to improve AI accuracy
- To prevent abuse and enforce rate limits
4. Data Storage and Security
Your data is stored securely using Supabase (hosted on AWS) with encryption at rest and in transit. Uploaded documents are processed for text extraction and stored in our database. We use industry-standard security measures to protect your data.
5. Third-Party Services
We use the following third-party services to operate:
- Supabase: database, authentication, and file storage
- Anthropic (Claude):AI model for chat analysis (your messages are sent to Anthropic's API for processing)
- OpenAI: text embeddings for knowledge base search (document excerpts are sent for vectorization)
- Brevo: transactional email delivery
- Vercel: hosting and privacy-friendly analytics
Each service has its own privacy policy. We do not sell your data to any third party.
6. AI Processing
When you use the chat feature, your messages and uploaded document content are sent to Anthropic's Claude API for processing. Anthropic does not use API inputs to train their models. Relevant AI-generated analyses may be stored in our knowledge base (without personally identifiable information) to improve future responses.
7. Survey Data
Healthcheck survey responses are confidential. Individual responses are linked to unique tokens and are only aggregated at the team level for reporting. Survey creators can see team-level averages but not individual respondent scores.
8. Data Retention
We retain your data for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data at any time by contacting us. Upon deletion, we will remove your personal data within 30 days, except where retention is required by law.
9. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Export your data in a portable format
- Withdraw consent for data processing

10. Cookies
We use essential cookies only for authentication (Supabase auth session). We do not use tracking cookies or third-party advertising cookies. Vercel Analytics is cookie-free and privacy-friendly.
11. Children's Privacy
The Service is not intended for use by individuals under 16 years of age. We do not knowingly collect personal information from children.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Service. Continued use after changes constitutes acceptance.
